The following booking conditions form the basis of your contract with rOaD.lEsS.tRAvELEd (“Company,” “Tour Operator,” “we,” “us,” and “our”). Kindly read through the Terms & Conditions to understand our respective rights and obligations. By asking us to confirm your booking, we are entitled to assume that you have had the opportunity to read and have read these booking conditions and agree to them.

These booking conditions apply only to the trip arrangements that you book with us in Pakistan and which we agree to make, provide, or perform (as applicable) as part of our contract with you. All references in these booking conditions to “trip,” “tour,” “booking,” “contract,” or “arrangements” mean such trip arrangements unless otherwise stated. References to “departure” mean the start date of these arrangements.


1. Area of Application and Definitions

1.1. The Company is an entrepreneur who either directly or via another entrepreneur, or together with another entrepreneur, compiles package tours and contractually arranges or offers them.

1.2. General Terms and Conditions shall be deemed agreed if they have been made available before the traveler is bound to a contract by a declaration of contract or if the traveler was able to view their contents. They supplement the package travel contract concluded with the traveler.

  • If the traveler is booking for third parties (fellow travelers), they confirm that they have been authorized by said third parties to:
    • Procure an offer for them,
    • Agree to the General Terms and Conditions for them, and
    • Conclude a package travel contract for them.
      The traveler making a booking for themselves or a third party is thus considered the client.

1.3. Traveler: Any person intending to conclude a contract subject to the provisions of the Terms & Conditions.

1.4. Promotional Materials: Our homepage, website, social media pages, and the catalogue serve as advertising material. The package tours and other services listed therein do not constitute offers.

1.5. Package Travel Contract: The contract for a package tour concluded between the Company and the traveler.

1.6. Tour Price: The amount to be paid by the traveler as stated in the package travel contract.

1.7. Unavoidable and Extraordinary Circumstances:
These include incidents/events beyond the control of the person referring to them where the consequences could not have been avoided even if all reasonable precautions had been taken. Examples include:

  • Acts of war, terrorism, or security concerns
  • Outbreaks of infectious diseases
  • Natural disasters or severe weather conditions

2. Role of the Tour Operator

2.1. Travel Proposals: Based on the traveler’s information, the Company compiles travel proposals.

  • Travelers may also choose from existing group tours posted on social media or our website.
  • These proposals are non-binding and do not constitute offers.

2.2. Travel Offers: If the traveler shows interest in a proposal, the Company will prepare and commit to a travel offer based on the proposal.

  • Price or service changes may occur, provided this is stated in the offer. Any changes must be mutually agreed upon before concluding the package travel contract.

2.3. Regional Standards: Package tours are planned based on customary conditions in Pakistan (e.g., quality, facilities, food, and hygiene levels). Travelers should be aware they are opting for a different environment and regional standards.

2.4. Package Tour Information:
The tour operator will provide details of the package tour through:

  • Standard Information Sheets
  • Catalogue, social media, or website details

2.5. Additional Information:
Upon request, the Company will offer guidance on:

  • Foreign currency and customs regulations
  • Passport, visa, and healthcare requirements
  • The traveler is responsible for obtaining necessary visas and complying with healthcare formalities.

3. Obligation of the Traveler to Provide Information and Cooperation

3.1. Personal Information: Travelers must provide accurate and complete details, including but not limited to:

  • Date of birth, citizenship, health conditions, allergies, or food intolerances
  • Special requirements or limitations (e.g., reduced mobility or health restrictions)

3.2. Booking Responsibility:

  • The traveler making the booking assumes all obligations arising from the contract (e.g., payment).
  • Only the client is entitled to withdraw from the contract.

3.3. Document Verification: Travelers must verify all contractual documents (e.g., booking confirmation, package travel contract) for accuracy and notify the tour operator immediately in case of errors.

3.4. Payment Obligations:

  • The traveler must pay the agreed tour price in full and on time.
  • Failure to meet payment obligations may result in contract termination and penalty charges.

4. Insurance

4.1. Valuables: Travelers should avoid bringing valuable objects or important documents on the trip.

  • For necessary documents, copies should be used if accepted.

4.2. Insurance Coverage: It is recommended for travelers to secure adequate insurance coverage, including:

  • Trip cancellation/interruption insurance
  • Travel liability and health insurance
  • Personal protection

4.3. Proof of Insurance: The tour operator requires proof of Travel Insurance before the trip begins.


5. Booking, Deposit, and Payment

5.1. Contract Agreement: A package travel contract is concluded once both parties agree on the price, services, and dates, and the traveler accepts the offer.

5.2. Deposit:

  • A 20% deposit must be transferred to the Company’s account within 7 days of contract receipt (or at least 2 months before the tour).
  • The remaining payment must be completed 25 days before departure unless otherwise stated.

5.3. Late Bookings: Contracts concluded less than 25 days before departure require full payment immediately.

5.4. Payment Delays: If payments are delayed, the Company reserves the right to:

  • Withdraw from the contract,
  • Forfeit any advance payments, and
  • Claim damages.

6. Travel Documents

6.1. Distribution of Documents:

  • Travelers will receive all necessary travel documents (e.g., itinerary, vouchers, etc.) via email or as otherwise agreed, no later than 7 days prior to departure.

6.2. Traveler’s Responsibility:

  • It is the traveler’s responsibility to check the received documents for accuracy and completeness.
  • In case of errors or missing documents, the traveler must inform the Company immediately.

7. Changes or Cancellations by the Traveler

7.1. Withdrawal from the Contract:
Travelers may withdraw from the contract at any time prior to departure by submitting a written request to the Company. The effective date of withdrawal is the date the Company receives the written notice.

7.2. Cancellation Fees:
The following cancellation fees apply unless otherwise stated in the contract:

  • More than 30 days before departure: 10% of the tour price
  • 15–30 days before departure: 50% of the tour price
  • Less than 15 days before departure: 100% of the tour price

7.3. Name or Date Changes:

  • Changes to names or travel dates will incur an administrative fee.
  • If significant changes are required, the Company may treat the request as a cancellation and apply the relevant fees.

7.4. Substitute Travelers:

  • Travelers may nominate a substitute participant who meets the trip requirements, subject to Company approval.
  • Administrative charges may apply.

8. Changes or Cancellations by the Company

8.1. Minor Changes:
The Company reserves the right to make minor changes to the itinerary, accommodation, or transport arrangements if necessary, provided they do not significantly alter the nature of the trip.

8.2. Significant Changes:
If significant changes are required (e.g., price increase exceeding 8% or changes to key trip components):

  • The traveler will be informed immediately, and
  • Options will be provided to either accept the changes, choose an alternative tour, or cancel with a refund.

8.3. Force Majeure:

  • If the tour is canceled due to unavoidable and extraordinary circumstances, the traveler will receive a full refund but no additional compensation.

9. Responsibilities of the Company

9.1. Duty of Care: The Company is committed to providing the trip as agreed in the contract and ensuring reasonable safety and comfort during the trip.

9.2. Limitations:
The Company is not liable for:

  • Loss or damage caused by third parties or other travelers,
  • Delays or cancellations caused by weather, strikes, or government restrictions, or
  • Traveler’s failure to comply with legal or health requirements.

10. Complaints and Problem Resolution

10.1. Reporting Issues:
Travelers must inform the tour leader or the Company of any issues immediately to allow for prompt resolution.

10.2. Escalation:

  • If a problem cannot be resolved during the trip, travelers may submit a written complaint within 14 days of returning.
  • The Company will review and respond within a reasonable timeframe.

11. Travel Insurance

11.1. Mandatory Insurance:
Travelers are required to have adequate travel insurance that covers:

  • Medical emergencies,
  • Trip cancellations, and
  • Personal liability.

11.2. Proof of Insurance:
Proof of insurance must be provided to the Company before departure.


12. Data Protection

12.1. Use of Personal Data:
The Company collects and processes personal data for the purpose of booking and providing trip services.

12.2. Data Security:
The Company ensures compliance with applicable data protection laws and will not share personal information with third parties without consent, except as required to provide the services.


13. Governing Law and Jurisdiction

13.1. Applicable Law:
These Terms & Conditions are governed by the laws of Pakistan.

13.2. Dispute Resolution:

  • Any disputes will first be addressed through mediation or negotiation.
  • If unresolved, they will be subject to the exclusive jurisdiction of the courts in Pakistan.
